Your workweek:
As a secretary, you will take care of the administration in the office. From incoming mail, creating and archiving invoices, accountability for cash, to checking and archiving property documentation. Your responsibilities also include putting properties online and preparing contracts for new listings.
It is important that you can maintain an overview and that you are switched on and punctual. It is also important to be able to prioritize and to function well both independently and in a team.
You are the first point of contact for any client walking into the office or calling to the office. This can be both buyers and vendors. That is why it is important to understand both the process of buying and selling and to be able to communicate professionally and friendly.
If viewings are agreed with potential buyers, it can happen that assistance is needed in booking the appointments. You then coordinate the scheduling of the viewings. Once the viewings are confirmed, you print out the property brochures as preparation for the viewing for the agent. You are the person responsible for the check-in and check-out of property keys.
Once a sale is agreed, your assistance can be requested to draft reservation agreements or request certain documents. Internally there are also some overviews to be kept up to date related to listings, sales, invoicing, commissions, and other office statistics. These overviews are for you to keep up to date.
Besides the tasks mentioned above, office cleanliness is also an important one; office tidiness, dishes, and ordering of office supplies are your responsibility.

You speak multiple languages (English and Portuguese are required both spoken and written. Further languages are an advantage). You have great computer and organizational skills. What began as a pleasant vacation in Portugal, eventually resulted in a dynamic organization within the brokerage business. Like many others, entrepreneur Chantal Bruining fell in love with the beautiful Algarve and in 2009 opened the doors for Dutch customers who wanted to buy a (second) home in Portugal.
Divine Home now has 6 offices, of which 5 in Portugal (Albufeira, São Brás de Alportel, Moncarapacho, Mértola and Loulé) and 1 office in the Netherlands. From these offices we work on selling real estate in Portugal, renting it out (through sister company Portucasa) and we value giving a great service to our clients. This is done by a team of enthusiastic colleagues with different nationalities, including: English, Portuguese, Dutch and Belgian.
